Review progress with supporting records

Use project dashboards and registers to find open questions, quality findings and outstanding items. Read those indicators alongside the daily record and the relevant drawings. A count of open items is more useful when the underlying references and responsible people are accessible.

Agree which project records each party will maintain and how often they will be reviewed. A shared platform works best when the team has a consistent routine for recording and following up work.

Distinguish requests from authorized changes

Follow a variation from the Contractor’s request through assessment, recommendation and authorization. Retain each stage’s value, supporting explanation and decision history. A request should not silently become the approved contract value.

When reviewing a change, check the scope reference, valuation basis, proposed time effect and current stage. The project record should make the decision understandable to someone who was not at the meeting.

• What work or instruction caused the change?
• What evidence supports the quantity and value?
• Has the technical and commercial assessment been recorded?
• What amount and time effect were finally authorized?

Follow certification and payment separately

Review payment certificates and the cumulative statement together. Previously certified amounts, retention and current net due help explain how the current certificate was calculated. An issued certificate is evidence of certification; settlement must also be reconciled with the project’s payment records.

Invite the Architect / Engineer and Contractor teams into the project and have your administrator assign their responsibilities. Corporate and Project Admins manage workspace setup and subscription payment.
